EXECUTIVE ASSISTANT TO THE VICE PRESIDENT OF INTERCOLLEGIATE ATHLETICS
Department of Athletics
Position Summary:
Perform administrative support to the Vice President of Intercollegiate Athletics and the Department of Athletics.
Work requires detailed knowledge and organization of university and athletic department policies, procedures, and programs.
Primary Duties:
45% - Essential - Accounts Payable Duties: Oversee all Accounts Payable-related duties for various sports and interdepartmental Athletics units, including: approval of purchase requisitions, issuance of purchase orders, and invoice processing.
25% - Essential – Foundation Reporting; Oversee all Foundation Accounts Payable-related duties for various sports and interdepartmental Athletics units, including: issuance of purchase orders, reconciliation of accounts, personal employee reimbursements and travel reimbursements.
25% - Essential - Accounting Duties: Responsible for accounting duties for various sports and interdepartmental Athletics units, including but not limited to: procurement card approval and reconciliation, and personal employee reimbursements.
5% - Essential - Financial Reporting: Assist with Finance and Administration in preparation of annual Equity in Athletics Disclosure Act (EADA) report and annual NCAA financial submissions following reconciliation with Agreed Upon Procedures Report.
Secondary Duties:
Record minutes for all Athletic Advisory Committee and athletic department meetings.
Organization of fundraising initiatives and development of accounting procedures for all fundraisers including golf tournaments, hall of fame, OMAs, etc.
Reports to: Vice President of Intercollegiate Athletics
Supervision Given to: Graduate Assistant for Business Operations
Hours: 8:00 a.
m.
– 5:00 p.
m.
, Monday – Friday.
Also requires some evenings and weekends
Position: Classified/FLSA Non-Exempt

Minimum Qualifications:
Equivalent work experience.
Preferred Qualifications:
Bachelor’s degree;
Experience working in a college athletic department.
Knowledge and Skills:
Knowledge of administrative support practices.
Knowledge of personal computers, software packages, and office equipment.
Proficient in MS Office including Excel, Word, Outlook, and Power Point.
Knowledge of generally accepted office practices and effective communication skills.
Ability to work independently when necessary, interpret information clearly, and make decisions on behalf of the department of athletics.
Ability to maintain confidentiality.
Ability to interact effectively with people.
